Student Employee Time SheetsATTENTION: With the implementation of the new banner upgrades all time sheets will be locked at 11:59 p.m. on the day after time sheets are due. At that time all time sheets not opened or submitted will become unavailable to be processed electronically by the student. If this deadline is missed, the student must fill out a paper time sheet (available on the payroll web site), take the completed time sheet to supervisor for approval and then walk the approved time sheet to the Payroll Department (301 University Hall) prior to the approver’s deadline. If students need to turn in a paper time sheet they will need to put the hours worked for each day as well as the start and end times for the day. Time sheets will not be considered complete without this information. Incomplete time sheets will not be accepted for processing. Please remember that student employees must submit time sheets by 5:00 p.m. on the second Friday of the pay period. Supervisors must approve the time sheets by 2:00 p.m. on the following Monday. Students are encouraged to record work hours daily in WINGS Express. If the electronic time sheet is not available when the student first begins work, he or she should keep a paper record so that accurate work hours can be entered when the electronic time sheet is available. Time sheet approvers should check each day beginning on Monday prior to time sheet submittal to ensure that all student employees hired for fall quarter are listed on their approver list in WINGS Express. If a student employee is not listed, contact Career Services immediately. Paper time sheets cannot be processed by Payroll unless your student employee is on your approver list in WINGS Express. Information entered into BANNER from the Student Employment Authorization form will generate the student record in your approver list and will provide Payroll with the necessary information to issue pay. Review Student Employment Manual: Time Sheets and Pay Advices Student Employment 101Orient your new student employees using Student Employment 101, a set of gentle quizzes about student employment policies, procedures, and protocols. The purpose of the quizzes is to evaluate student employees current knowledge of basic, appropriate behavior on the job, and then to advance their understanding by providing an answer sheet, with explanations. The quizzes may be taken one at a time, over a period of days or weeks, as needed; or they may be taken all in one sitting. When all five quizzes have been taken by one student, a certificate of completion will be sent to you to present to your student employee. Quiz answers are not sent to you. Find Your Approver Time Sheet OrgSupervisors who have not previously approved time sheets must contact Tony Whack in Human Resources, extension 4161, to obtain an Approver Time Sheet Org Code. Equal Employment Opportunity for Students at WSUTo be in compliance with federal law, Career Services is working to ensure that ALL student employment job postings are posted for the required five business days. If a position has not been posted and a student has been hired to work, Career Services will post the position for the required five days. Your department may receive responses to that posting; please graciously accept any applications and courteously respond to inquiries. You may indicate that you have identified a candidate, and will keep applications on file in the event that the selected candidate does not follow through. Remember, Affirmative Action requires that each job be posted for five business days before a hiring decision can be made. This does not include promotions, reclassifications or rehires. Review the Student Employment Hiring Process Grant Funding for Student Positions and Wages Needs Early ActionIf you plan to use grant money to fund your student employee wages, Student Employment encourages you to have these positions classed and the wage rate determined prior to the grant proposal submission. By confirming the wage rate before the grant proposal is submitted, there will be no delay in posting your jobs when you receive word that the grant has been funded. It also will allow for you to include the appropriate annual student raise amounts into multi-year grants. For assistance, contact Kim Jungdahl at kim.jungdahl@wright.edu or 775-2556.
